and Marketing Associate
Our goal is to expand Vanguard identity and services across the NYC/Tri-State area among clients, designers and architects, real-estate owners and developers.
Business Development Responsibilities – MAIN RESPONSIBILITY
- Support Principal on all marketing related needs:
- Acquire deep familiarity with all, especially important contacts,
- Write and send letters on behalf of the Principal
- Track and maintain all outgoing correspondence / manage responses ensuring action items are achieved (lunches, submitting brochures, etc)
- Attend meetings with sales team to review pipeline, support outreach, provide ongoing support and guidance
- Research markets to do outreach on behalf of firm / principal
- Do outreach to potential architects, designers, clients across all genres of Vanguard projects
Marketing Responsibilities:
- Learn company history and organization / acquire deep familiarity with Vanguard past / present projects, photo archive and project details.
- Read and respond to RFPs, Requests for Qualifications, Bid Package deadlines
- Write letters of introduction, (SEE BELOW BUSINESS DEVELOPMENT) and Vanguard RFP responses across all genres / submit to clients on time
- Evolve language, design and data (Schedules, submission logs, logistics, life safety plans, Sample CM paperwork, etc) of RFP content
- Prepare and update Project Team organization charts and bios (Procore)
- Maintain / update all Vanguard paperwork, proposals, website to best represent our service, brand and experience.
- Have self-awareness to check own and all work with regards to content, graphic cleanliness, attachments, messaging and being current
- Write completed project blurbs to update portfolio / organize photos
Organize interview preps with proposed Vanguard project teams, by identifying agenda, strategy and important talking points, and
- Prepare marketing deck for presentations in Powerpoint
- Maintain master job list and current bid list
- Organize all issued RFP responses, brochures, Letters of Introduction
- Coordinate with HR to update Vanguard staff contact sheet
- Self-edit and provide continual constructive feedback across all material
- Internal Support / Digital Marketing Responsibilities
- Update website with recent projects, personnel bios; coordinate career page with HR; coordinate Subcontractor page with VC staff
- Coordinate LinkedIn account with HR re: staffing needs
- Spearhead strategic execution of marketing campaigns, including regular newsletters.
- Organize meetings and events (i.e. client cocktail parties, holiday parties, dinners etc.)
- Nurture internal culture of Vanguard with regular internal communications and events (monthly newsletter, site visits, townhall meetings, staff outings and shared philanthropic causes).
- Conceive, develop and implement marketing assets including new brochures, proposals, ad campaigns, email marketing campaigns
- Supervise outside vendors including photographer, printer, Salesforce, Creative Agency).
- Create content and manage engagement on all social media channels including Instagram, LinkedIn and Facebook
- Maintain browser info for website
Technical Skills –proficiency required in
- InDesign (mandatory), Adobe acrobat, Illustator, AdobePro, Photoshop
- Powerpoint, Excel, Word, Sharepoint, Microsoft Teams
- WordPress (preferred – entry level is fine)
